Capavista provides AI-assisted hiring decision support. We help organizations evaluate candidates against role requirements, surface evidence from resumes and assessments, and produce shortlists for human review. Capavista does not make hiring decisions; a person on your team remains responsible for every employment decision.

2. Information we collect

Account and company information

When you create an account or company workspace, we collect information such as your name, email address, company name, billing details, and authentication data.

Candidate and hiring data

When you use the Services, you may upload or enter candidate resumes, job descriptions, skill weights, assessment responses, notes, pipeline decisions, exports, and related hiring records. This may include personal data about candidates that your organization controls.

Usage and technical data

We collect logs and telemetry needed to operate and secure the Services, such as IP address, browser type, device information, timestamps, pages viewed, feature usage, and diagnostic events. We aim to keep operational logs free of unnecessary personal content where practical.

Communications

If you contact us, we retain the content of that correspondence and related metadata.

3. How we use information

We use information to:

  • Provide, maintain, and improve the Services
  • Authenticate users and manage company workspaces
  • Process resumes, role requirements, assessments, rankings, and reports you request
  • Process payments and manage subscriptions
  • Detect, prevent, and investigate abuse, fraud, and security incidents
  • Comply with legal obligations and enforce our Terms of Service
  • Communicate about product updates, support, and service-related notices

We do not sell personal information.

4. AI processing

Parts of the Services use artificial intelligence to extract skills, generate assessments, score evidence, and produce explanations. AI outputs are decision-support only. You should review recommendations before acting on them.

We configure AI processing to focus on job-related skills and evidence. We instruct systems not to infer or use protected characteristics such as race, gender, religion, age, or disability for ranking or evaluation.

5. How we share information

We may share information with:

  • Service providers who help us host, process payments, send email, provide AI infrastructure, or support operations, under contractual confidentiality and data-protection obligations
  • Your organization, including other authorized users in your company workspace
  • Professional advisors or authorities when required by law, legal process, or to protect rights, safety, and security
  • A successor entity in connection with a merger, acquisition, or asset sale, subject to this policy or equivalent protections

Candidate data you upload remains isolated to your company tenant and is not shared across customers for their hiring use.

6. Data retention

We retain account, billing, and Service data for as long as your account is active and as needed to provide the Services, meet legal obligations, resolve disputes, and enforce agreements. You may request deletion of candidate records or account data subject to legal and operational retention requirements. Candidates may request access, correction, deletion, or anonymization of their personal data through your organization or by contacting us.

7. Security

We use administrative, technical, and organizational measures designed to protect information, including access controls, encrypted transport, tenant isolation, signed expiring assessment links, and audit logging of sensitive actions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. International transfers

We may process and store information in the United States and other countries where we or our providers operate. Where required, we use appropriate safeguards for cross-border transfers.

9. Your choices and rights

Depending on your location, you may have rights to access, correct, delete, export, or restrict processing of personal data, or to object to certain processing. To exercise these rights, contact us. If we process candidate data on behalf of your employer or a hiring organization, we may redirect the request to that organization as the data controller.

10. Cookies and similar technologies

We use cookies and similar technologies for authentication, security, preferences, and analytics needed to run the Services. You can control cookies through your browser settings, but some features may not work if essential cookies are disabled.

11. Children's privacy

The Services are not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.
